Lawful Basis for Processing Personal Data

We process your personal data under the following lawful bases under UK GDPR:

  • Contractual Necessity – Where processing is necessary to manage lesson bookings, process payments, and communicate with students (or parents/guardians) regarding lesson arrangements and related information.
  • Legitimate Interests – Where processing is necessary for the effective operation and improvement of our business, including responding to enquiries, maintaining internal records, improving our website and services, ensuring network and information security, and requesting feedback. We ensure that our legitimate interests do not override your rights and freedoms.
  • Consent – Where you have given clear consent for us to process your personal data for a specific purpose, such as receiving marketing communications or newsletters. You may withdraw your consent at any time.
  • Legal Obligation – Where we are required to process personal data to comply with legal or regulatory obligations, including accounting, safeguarding, and tax requirements.

We only process personal data where a lawful basis applies and ensure that such processing is limited to what is necessary for the stated purpose.

Music Lessons

Initial Enquiries

In-store and phone enquiries are initially hand written and handled by Booths Music staff. Email enquiries and online contact form enquiries collect data that you as the student or customer input and are retained through the email client. These emails are periodically deleted at the discretion of the Booths staff or on request. We retain personal data only as long as necessary for the purposes for which it was collected and to comply with legal obligations.

Use and Retention of Personal Data

Following an enquiry, your contact details may be shared with your allocated music tutor (phone numbers in the majority of cases, email addresses when a phone number if not provided or available) to enable direct communication regarding lesson arrangements, scheduling changes, or general enquiries. All Booths Music tutors are independent and are based in the UK, providing music lessons within our music studios.

While you are enrolled as a student with your tutor (or as a parent or guardian acting on behalf of a minor), Booths retains personal data for the following purposes:

  • To provide effective coordination between Booths, you, and your tutor.

  • To communicate important information, including lesson updates, scheduling changes, or other relevant notifications.

  • To respond appropriately in emergency situations.

  • To request and process feedback in order to improve our services.

  • To send occasional marketing communications, including newsletters. You may opt out of marketing communications at any time.

Personal data is handled online securely through encrypted Google Sheets and retained only for as long as necessary to fulfil these purposes and to meet any legal or regulatory obligations.
